UKQuantum undertake to comply with all relevant Data Protection Regulation. This privacy policy explains how UKQuantum uses the data we collect.
UKQuantum is a body of voluntary members and stakeholders from the Quantum industry who volunteer to attend meetings and discuss the development of the UK Quantum industry.

What data do we collect?
UKQuantum collects data on individuals solely due to their voluntary interaction with UKQuantum. Data collected may include:
Business contact information (Name, business email address, business phone number, job title, place of work, business address and business website) if provided by data-subject.
By interaction with our website we may automatically collect technical data via 3rd party website providers on browsing patterns, location and equipment.
We record attendance at official meetings.
Profiles of stakeholders may be held if these have been provided by the data-subjects for their limited use of interacting with UKQuantum and if agreed with the data-subjects.
We keep the bare minimum data necessary and do not capture wider data without consent.
We do not collect, or hold, any special categories of personal data (e.g. race, health, biometric, ethnicity, nationality or personal financial data).
How do we collect your data?
Data-subjects (you) provide us with most of the data we collect. We collect data and process data when you:
Register an expression of interest on our website form.
Attend a UKQuantum meeting or event.
Voluntarily provide details via email with the express permission for us to process the data.
Voluntarily complete a survey or provide feedback to UKQuantum.
Use or view our website via your browser’s cookies.
How will we use your data?
UKQuantum collects personal data only for the very limited purposes of interacting with the organisation and for legitimate purposes which are solely business related.
These legitimate purposes include:
Collecting input from the UKQuantum community for stakeholders such as Innovate UK, support and funding bodies and those requiring an update on the UK Quantum Industry.
By data-subjects consent to become a stakeholder/contributor/member of UKQuantum with contact data to be used to be informed of UKQuantum activities/events or updates on funding, markets and consultations with stakeholders or Government.
We do not share data with 3rd parties except for:
On a case by case basis with the full consent and knowledge of the data-subject; e.g. an introduction to a business contact for consultation.
Where volunteers (or subcontractors) perform the functions associated with operating UKQuantum such as website enquiries, mailing lists for updates to stakeholders. When volunteers or 3rd parties are used their use of UKQuantum is restricted solely to the function required. We do not allow wider use of the data for external marketing purposes for instance.
We do not sell or transfer data to 3rd parties for marketing purposes.
How do we store your data?
UKQuantum will securely store your data and prevent unauthorized access and will avoid gathering excessive data.
UKQuantum data is stored securely in 3rd party services (e.g. Microsoft Office 365, Google Drive etc) which have been verified to be compliant to GDPR Regulations.
UKQuantum will keep your data for 5 years. Once this time period has expired and you are no longer an active member, we will delete your data from our membership list system.
What are your data protection rights?
UKQuantum would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:
The right to access – You have the right to request copies of your personal data. We may charge you a small fee for this service.
The right to rectification – You have the right to request UKQuantum correct any information you believe is inaccurate. You also have the right to request to complete the information you believe is incomplete.
The right to erasure – You have the right to request that UKQuantum erase your personal data.
The right to restrict processing – You have the right to request that UKQuantum restrict the processing of your personal data.
The right to object to processing – You have the right to object to processing of your personal data, under certain conditions.
The right to data portability – You have the right to request that UKQuantum transfer the data that we have collected to another organization, or directly to you, under certain conditions.
If you make a request, we have one month to respond to you. If you would like to exercise any of these rights please contact our Data Controller.
